Inventory Officer
- Oversee daily stock levels of glass, mirrors, and accessories
- Maintain accurate inventory records and conduct regular cycle counts
- Monitor stock movements, deliveries & production consumptionns
- Identify discrepancies, shortages, and slow-moving item
- Prepare quotations, sales orders, delivery notes & invoices
Responsibilities
- Liaise with Managers and monitor the materials requirement needed to be replenished by analyzing the current level of stock items and the corresponding re-order quantities.
- Ensure that stock variances at respective locations are at acceptable level
- Liaising with manager and team members and working together for unaccepted variances. Getting valid explanations with details and identifying staff responsible for the loss.
- Accountable, answerable and responsible for stock variances at respective locations.
- Follow up on documentation for the items received for locations based on the order placed by checking Supplier’s name, date, delivery note number, order number, order quantity etc. and ensuring goods are received in the right quantity and quality.
- Key inventory controls are monitored, measured and appropriate preventative measures implemented so that inventory is safeguarded against theft, fire, weather adversity in liaison with the Yard supervisors / Branch Managers.
- Ensure that materials are stored with clear identifications for easy retrievals and for physical counts.
- Carry out regular checks to identify any damaged, redundant, obsolete, and non-moving stocks and inform the Yard in charge/Branch Manager /Logistic and Warehouse Manager/ Inventory Control and Warehousing Manager to take necessary actions.
- Critically involve and organize cycle counts (daily), monthly and quarterly stock counts and ensure relevant staff personnel are performing counts effectively. Ensure discrepancies are identified, differences are reconciled, and stocks adjusted and excess items are taken in to stock after obtaining approvals.
- Make arrangements for dispatch and delivery and update the system for inter stores transfers and follow up pending transfers
- Ensure daily supplier receiving is received in system on same day and follow up with AP for system final posting.
- Update the system for inter stores transfers and follow up pending transfers.
- Ensure that physical/system receiving’s are done accurately.
- Ensure that Negative stocks are adjusted regularly with proper supporting documents/ approvals.
- Act as support for GRN officer when ever need arises.
Requirements
- Minimum of 3 years of experience in Inventory & Sales
- Strong understanding of stock control systems (Inventory)
- Experience in SAP software knowledge will be an added advantage
- Excellent organization & communication skills
- High attention to detail and accuracy
- Proficiency in Excel, Outlook & general office applications
- Ability to work under pressure, prioritize tasks, and respond quickly to operational needs.
To succeed in this role, candidates must have at least 3 years of inventory experience, strong stock control knowledge, good communication and organizational skills, and proficiency in MS Office (Excel, Word & PowerPoint). Experience with SAP Software will be an added advantage.
